Part-Time Bookkeeper

Job Type:

  • Contract, Seasonal, April to October
  • Part-time 2-3hrs/week

Work Location:

  • Remotely.
  • May need to come to tennis club (40 Tournament Dr.) from time to time. 

Wage:

  • $25-$30/hr depending on experience

Key Responsibilities

  • Record cash flows in and out of the club’s bank accounts in Microsoft Excel, including:
    • Income received from Bambora, the club’s credit card processor for membership dues, program/event member fees, guest fees, etc.
    • Court Fees paid by the club Pro.  Fees are deducted from the Pro’s share of camp and clinic revenues in the revenue share settlement between the club and the Pro. 
    • Cash or e-transfers received from club members for guest fees, t-shirts, caps, etc.
    • All payments (i.e., operating expenses, capital expenses, and HST instalments) and allocate them against appropriate disbursement categories.
    • Ensure all items are recorded in the correct bank statement period.
  • Maintain and organize digital files for invoices, receipts, bank statements, and other financial documents to support transparency and auditability.  Where these documents are made available, e.g., Bell Canada, download them into the appropriate digital folders for the record.
  • Prepare summary sheet and supporting documentation for payments to be made by the club and notify the Treasurer when these have been prepared and payments can be initiated via cheque or e-transfer.
  • Calculate the net settlement amount of camp and clinic revenue to be paid to the Pro, and the fees due from the Pro for court utilization for lessons, camps, and clinics, based on data extracted from the club’s registration/booking system.
  • Obtain revenue reports from the club’s registration/booking system and reconcile with bank deposits to verify that funds received reflect actual membership and program activity. (**Deduct processing fees from the amounts that Bambora deposits to the club’s bank)
  • Reconcile bank account statements monthly against the accounting records, investigating and resolving discrepancies in coordination with the Treasurer as required.
  • Support the Treasurer in preparing the AGM and year‑end financial statements, including HST calculations.
  • Other administrative duty as required.
  • Comply with privacy requirements and club policies.
  • Reports to Club Treasurer or President.

Qualifications:

  • Basic accounting knowledge
  • 3+ years Bookkeeping experience a must
  • Computer skills such as, Excel, Word, email…etc.
